General Booking Questions ❓

Can I view the spaces before booking? 👀

Yes, we offer viewings of our spaces by appointment. Please get in touch with us to arrange a time to visit and see the facilities before booking.

Are parking facilities available? 🅿️

We don’t have dedicated parking, but parking is available locally. Please take a look at our guide (https://cathays.org.uk/parking/)

Is WiFi available? 📶

Yes, WiFi is available in all of our spaces. A Wi-Fi code is displayed in each room.

What are your operating hours? 🕒

Our community centre is typically open from 9 AM to 10 PM daily, although this may vary depending on what groups are booked in. Public holidays can also affect opening hours. We will consider bookings outside of these hours.

Is the community centre accessible via public transport? 🚍

Yes, the community centre is accessible via several public transport routes. Please find more information on our website https://cathays.org.uk/buses-trains-bike-share/ 

Are there discounts available for charities? 💸

Yes, we offer a 20% discount for other charities on hires.

What are the sizes and maximum capacities of the rooms? 📏

The dimensions of each room are on the community centre website. See the ‘Room Hire’ menu. Although we list the maximum capacities, different room layouts are, of course suitable for different numbers of people, and the hirer should decide on how many people would be suitable for the nature of their event.

Is there a policy on decorations? 🎨

Yes, decorations are allowed, but please do not use nails, tacks, or anything that could damage the walls. Please ensure all decorations are removed after your booking.

Can I cancel my booking?

Yes. We have a generous cancellation policy in our terms of hire: CCYCP Terms of Hire

Accessibility ♿

Most of the community centre is accessible, except for the meeting room, media room, and upstairs practice room.

This section is for hirers using the centre for short-term bookings in the smaller community centre spaces for standard non-event bookings. For information about block booking, see the section further down the page.

How do I check availability and book a space? 📝

Customers book online using our booking system (https://ccycp.skedda.com/booking). You can visit our website to view availability and make your booking. The system is available 24/7 for your convenience. Please see the section below if you are looking for a repeat booking.

What is included with my booking? 📋

Each space includes different amenities, such as tables, chairs, and music equipment. For details, visit our website’s page for each room. Additional equipment may be available for hire upon request.

What are my responsibilities as a hirer? 🤝

Hirers must leave the room as found. This includes returning equipment, disposing of rubbish appropriately, and ensuring you leave on time to avoid disruptions for the next booking.

Do you offer a discount to under 18s and soloists in the rehearsal rooms? 🎸

Please let us know if you are either under 18 or practising as a soloist, and we can add the discount to your account. If you have already made a booking, let us know the email you used when you made the booking, and we will also credit your account. Otherwise, let us know, and we can send you a link to sign up. Any future bookings will be at the reduced rate.


Events and One-Off Hall Bookings 🎉

How do I hire the hall for an event? 🏢

To book the hall, complete our hire form https://docs.google.com/forms/d/e/1FAIpQLSfGTtqkuI4IG0FIumJ_rj0p-vv8nz19iY8peN3mZolpacdLJw/viewform. This helps us understand your requirements and make arrangements for your event.

What equipment is included with my booking? 🎤

The halls have tables, chairs, and a music system at no extra cost. Check our booking form to see what else is available. Some equipment is included in the price, while some may have additional costs.

What payment methods do you accept? 💳

We accept payments via bank transfer, credit/debit card, and cash.

Can I have alcohol at my event? 🍷

Private parties with alcohol are not allowed. Organised public events may be permitted to run a bar. See our Alcohol Policy for more details.

Can I bring food and drink? 🥪

You can bring food and drink. Please leave the space tidy and dispose of waste in the correct bins.

Can I decorate the hall for my event? 🎈

Yes, you can decorate the hall, but please avoid using nails, tacks, or anything that may damage the walls. It’s the hirer’s responsibility to remove all decorations after the event.

Can I bring my equipment? 🎛️

Yes, you can bring your equipment. You must inform us on the booking form if you intend to use any equipment. Hire must ensure music equipment is used per our noise policy. Equipment should be safe and defect-free.

Is there a kitchen available for use? 🍽️

Yes, there is a kitchen available that can be hired in addition to other spaces. Please let us know in advance if you need access to it, and make sure it is left clean after use.

Are there any restrictions on the types of events that Cathays Community Centre can host? 🚫

Certain events are restricted, such as private parties with alcohol or events that may be deemed unsafe or unsuitable for our facilities.

What happens if something gets damaged during my event? 🔨

If any damage occurs during your event, you may be held responsible for the costs of repairs or replacements. Please ensure all guests respect the facilities.

What are my responsibilities as a hirer?

Leave the hall tidy, remove decorations, and dispose of rubbish. Ensure children are supervised at all times and guests behave appropriately. Please do so to avoid losing part or all of your deposit. See our Terms of Hire for a complete list of responsibilities.

What are the deposit and payment requirements? 💰

A deposit is required to secure the space upon booking, and the full hire fee is due seven days before the booking. Bookings are only confirmed once the deposit is received.

The deposit is calculated based on event capacity, duration, and equipment hired. Both deposit and hire fee must be paid ahead of the event start time. Deposit is returned in full when the event is finished and room is left in a satisfactory condition at the agreed end time.

Are there late fees? ⏰

If a group is within its booked time with permission, additional fees apply. Please book enough time for set-up, the event, and clean-up.

How do I submit a booking request for a repeat booking? 🔄

Please complete our Regular Hire Form for recurring bookings.

How do I check availability for regular bookings? 📅

What is included with my booking? 🪑

To see what’s included in each room, see the individual web page for each space. Other equipment is available at an additional cost. You can see what is available on the booking form.

What are my responsibilities as a hirer? 👍

Book enough time for set-up and pack-down, tidy the space and pay invoices on time. Return borrowed equipment and ensure the space is left as found. For complete information, see the CCYCP terms of hire.

How do I pay for repeat bookings? 💵

All repeat bookings must be paid by invoice. We accept card payments and BACs.

Do I need Public Liability Insurance (PLI) or safeguarding information? 🛡️

Regular classes and groups may need to provide proof of Public Liability Insurance if they facilitate activities with an element of risk and safeguarding information, especially when working with children or vulnerable adults.

Do regular hirers get storage space? 📦

Limited storage space may be available for regular hirers. Depending on the size, there will be a small extra cost.
